Cambridge Property Owners Association 2017 Annual Meeting

The annual meeting was called to order at 7:00 at the Indianapolis Yacht Club. Board member attendees included board members, Marvin Brown, Pat Carlini-Miller, Keith Matthews, Nick Weybright, Angela Istrowski and Cory Collins. Guest: Dan Quigley of Kirkpatrick management

55 homes represented – 25 in person – 30 by proxy

  1. Stats (monthly call log) and safety tips were passed out for review
  2. If you see something say something. Geist Patrol numbers were passed out. Call anytime.
  3. Vacation checks are available through Geist Patrol

3. Review and Approval of 2017 Annual Meeting Minutes

a. Marvin Brown made a motion to approve the 2016 Minutes. Cory Collins seconded. Motion passed unanimously.

There was discussion about mailbox replacement and the funds collected for that project
The 2017 Reserve Study was discussed and Cambridge is in good financial condition.

Budget – Dan Quigley
Dues stayed at $700, extra $300 for deeded docks Main project for next year is going to be replacing Streetsigns.
Pat Carlini-Miller made a motion to approve the 2018 Budget. Nick Weybright seconded. Motion passed unanimously.

  1. It was mentioned that many lamppost lights are out. It’s the homeowners’ responsibility to maintain the lampposts.
  2. The speed limit on Springstone is always violated. We can’t do speed bumps or stop signs per county road guidelines. Geist Patrol will put out the speed reader if requested. Possible speeding signs will be installed in 2018

  1. Republic Trash/ Recycle Contract – Approved 6 – 0

$12.85/home per month

2 years rate firm

3 carts any mix trash and recycling (trash serviced one time per week – recycle serviced every other week)

1 free bulk item per month per home

No cart or delivery charges

Tentative:

October start date for recycle to be included in Master Service Agreement

Direct billing to residents will be canceled effective September 30, 2017 (address list to be provided to Republic)

Meeting called to order @ 6:00

In attendance: Wade Etheridge, Marvin Brown, Pat Carlini, Nick Weybright, Keith Matthews, Cory Collins. Also in attendance – Kelsi Santana and Dan Quigley from Kirkpatrick Management.

 

  1. Homeowner Open Session – Homeowner from Springstone came to discuss lawn care in Cambridge.

 

  1. Geist Patrol Report – Officer gave report on Cambridge – overall quiet

  1. Reviewed Notes Report (Notes from March 1st – May 16th)
  1. Violation Report – 29 violations sent out May 2nd

  1. 2017 Mailbox project –
    1. Phase 1 – Complete – 84 boxes replaced
    2. Phase 2 – starts week of May 30th
  1. PJE – “As of now, we are on track at Cambridge. The only thing I noticed was about 7-8 spruce trees that I will be keeping an eye on over the next couple of months. They appear to be in rapid decline. There are a few at the park and a couple at the 96th street entrance. In my opinion they are too far gone to make a good recovery (one being the one that fell a couple weeks back that we had to re-stake). You might ask if they would like to consider replacing these as they die. Other than that, we are good and on schedule!” – Phil

    1. Phase #1 – Complete – 84 boxes replaced
    2. Homeowners voiced opinion that all boxes be replaced this year. Board agreed. KMC will get project completed this summer

      1. Homeowners talked about speeding in Cambridge. KMC was asked to get Geist Patrol to put out speed station to help homeowners know they need to slow down.

      1. Keith spoke briefly about the benefits of the GLC and its positive effect on Cambridge POA.
    3. Easter Egg Hunt – Pat Carlini reported

January 11th, 2017

Meeting called to order at 6:05pm

  1. Geist Patrol opened the meeting with a report on the Cambridge neighborhood.
  1. Minutes of November meeting – approved
    1. Annual Meeting – on website
  • Financials – approved
  • Coupons were mailed out 1st half of December
  • Payments Due – January 1st and July 1st
  • Payments Late – February 1st and August 1st ($40.00)
  • Wade Etheridge asked for KMC to get pricing on a new reserve study.
  1. Delinquencies (Delinquency Summary as of 12/31/2016 )
  1. Notes Report was reviewed by Board
  1. Bids/ Contracts/ Update
    1. D and O Insurance – Board voted to raise the D and O insurance

There is now 2 Million additional with a $2,500.00 deductible. 

 

  1. 2017 Mailbox project –
    1. 84 Mailboxes in Bad shape in need of immediate replacement. There were three bids reviewed in the November meeting and Mailboxes etc. had the best pricing.  The board voted to change out 84 mailboxes for $6,300.00.  The board also voted that if someone had their mailbox changed out in the last year the HOA would refund them $75.00
  1. Landscape Contract –
    1. Board reviewed bids from Bam, Brightview, GT Services, Ken Cut and PJE. They will make a decision next meeting.
